COMMON ENTRANCE EXAMINATIONS REGISTRATION

REGISTRATION INSTRUCTIONS FOR THE CE EXAMS

You can upload the registration spreadsheet to the registration form as many times as needed before the registration deadline. Each new upload will replace the previous version. Please note that any candidates or information omitted from the latest spreadsheet will be removed from your registration.

We recommend uploading your candidates as early as possible so that senior schools can view them on their dashboards. You can continue to update subject and level choices until the registration deadline.

Invoices will be based on the candidates registered by the deadline. After this date, no new registrations or cancellations can be made. Any changes requested after the deadline will incur an amendment fee.

Watch the video below for guidance on completing the candidate registration template.

Checklist

Things to check before you submit your Candidate Registration

Before you complete the online registration form and upload your Candidate Registration Upload Template, please check the following things:

– All fields have been completed for all candidates. Please ensure that every candidate has a date of birth, as this is used for candidate identification purposes.
– You have either selected a ‘Marking School’ or ‘Internal Marking’ in both the ‘Destination School‘ and ‘Marking School’ columns. If you are unsure of a pupil’s destination school, select ‘Internal Marking‘ and you can update this information later by reuploading the form.
– You have carefully checked the spelling and capitalisation of each candidate’s name as they will appear on certificates as entered into your spreadsheet.
– You have carefully checked each candidates’ subject options to ensure they are all correct.
– If any of the candidates are doing a ‘single subject’ entries, please notify the support team after your registration.
– You have saved your Candidate Registration Upload Template spreadsheet as a .CVS (comma delimited) file as below:

Keep your original registration spreadsheet secure and make updates directly to it as needed. Periodically, save a copy in .CSV format and upload it to refresh the candidate dashboard for both yourself and the senior school.

If you have any queries, you can read our Prep School Registration Guide or submit a ticket through our helpdesk.

Please note: To be able to complete the online registration form, you need to be either an Admin or Registrar User on your ISEB School Account. Shop Users will not be able to access the online registration form. If you are set up as a Shop User, you can ask your account Admin to change your user role via their account dashboard, or you can contact us and we will help you with this.

Help and information about CE candidate registration

  • Understanding Late Fees

ISEB does its best to accommodate late entries and amendments to registrations made following the published deadlines for examination sessions. However, the cost involved in processing such changes is significant; therefore, we have introduced the following fee structure.

All changes, amendments and cancellations are free of charge prior to the registration deadline. No cancellations are allowed after the registration deadline.

  • How does candidate registration for Common Entrance work?

You can download our step-by-step guide to candidate registration here.

To register candidates for CE, schools need an active, verified ISEB School Account that allows users registered on the account to log in to the new ISEB website.

If you are unsure whether your school has an active ISEB School Account, you can submit a ticket on our Support Portal. Please choose the option: ‘Request to check if my school has an ISEB School Account’.

You will add all of your candidates to a Candidate Registration Upload Template spreadsheet provided by us, and upload once, whenever you are ready.

Once you have completed the upload template, you can simply submit it as a .CSV file through the relevant online registration form to register your candidates.

A record of your registration will appear in your ISEB School Account dashboard.

Please note: candidates will be allocated a unique Candidate ID. This ID needs to be quoted when making any changes to a candidate’s registration.

  • What do schools need to be able to complete candidate registration for Common Entrance?

To register candidates you will need the following information:

    About you and your school:

    • Your name
    • Your job title
    • Your school’s name
    • Your email address
    • Your phone number
    • Your purchase order number/reference
    • The exam session you are registering candidates into.

    About each candidate:

    • First name
    • Last name
    • Full name to be printed on the certificate
    • Date of birth
    • Name of ‘marking school’ (or ‘internal marking’)
    • Subject options

You will add all of your candidates to a Candidate Registration Upload Template spreadsheet provided by us, and upload once, whenever you are ready.

  • Where can schools access the candidate registration spreadsheet templates?

To register candidates for CE, schools will need to first populate a Candidate Registration Upload Template spreadsheet. The template for each spreadsheet will be provided by ISEB in .Excel format.

Instead of entering candidates in to an online form one by one, schools can now simply populate the relevant upload spreadsheet with the information for each candidate. This can be done in your own time, allowing you to build it up over time and review the information within it. You can submit your spreadsheet whenever you are ready, as long as it is before the relevant deadline.

Please note that the spreadsheet must be saved as a .CSV file for uploading through the online registration forms.

  • How do schools complete the candidate registration templates?

Each candidate is entered into the Candidate Registration Upload Template spreadsheets on a separate line.

Read our support article on how to populate the new Candidate Registration Upload Template spreadsheets, and prepare them for upload via the new online registration forms.

Please enter the candidate’s first name and last name, as well as their preferred full name for their ISEB CE certificate. Please enter this in sentence case i.e. James Smith, and please check spelling and punctuation carefully as the names on the certificates will appear as entered into the spreadsheet.

Please select the candidate’s Destination School and Marking School from the options in the drop-down lists. These are usually the same. The Marking School is the senior school to which the marking packs will be sent.

We advise that you do not upload your Candidate Registration Upload Template spreadsheet until you have full information for all candidates. If you would like to upload your completed template and still have some candidates without confirmed destination or marking schools, please select ‘Internal Marking’. You will be able to change this later if necessary.

Finally, please select the subjects each candidate will take using the drop-down options provided. You no longer need to use the old subject codes.

  • How can schools access support from ISEB?

Support and guidance is available on our new CE Support Portal. Here you will find a range of helpful articles and FAQs, and you can also submit an enquiry via the online ticket submission form.

  • What do schools need to log into a School Account and complete candidate registration?

The new candidate registration system has been designed so that schools can use the same account for registering candidates for CE exams and ordering past CE papers.

It means that all CE administration is done in one place, and records of registrations and orders can be seen in the same account dashboard.

ISEB School Accounts put schools in control – they have been designed to allow schools to add and edit users directly. Each account has one or more Admins, who can add users and set user roles and permissions. Each user on the account has their own login, using their own email address and password for added security.

  • How can schools access a record of submitted candidate registrations?

Once a school has submitted a candidate registration, a copy of the .CSV file submitted, as well as a PDF summary of the information submitted, will become available in the school’s ISEB School Account dashboard. These can be downloaded from the dashboard.
